The submitter receives a confirmation email triggered from the same automation.
When a project board item moves to a status like 'Delivered' or 'Approved,' we use a Make scenario to create a draft invoice in QuickBooks with the client name, project details, and amount pulled from Monday.com columns. This removes a manual billing step and gives the finance team a consistent trigger to work from.
When a deal reaches 'Closed Won' in HubSpot, we trigger the creation of a new project board item or full subitem set in Monday.com, pre-populated with the client name, deal value, and expected close date. The account manager is assigned automatically and a due date is calculated based on a formula column.
For clients with repeating operational work, we configure Monday.com's recurring item feature or a Make scenario to generate a new set of tasks on a defined schedule, assign them to the correct owners, and set due dates relative to the creation date. This replaces manual task creation at the start of each cycle.
We build an automation that checks for items past their due date with a status that is not 'Done,' then sends a daily or weekly email summary to the project manager listing what is overdue, who owns it, and by how many days.
