The handoff
During onboarding, your dedicated Client Success Manager reviews your existing Notion workspace (or your goals if you are starting fresh) and works with you to build a Strategic Delegation Plan that prioritizes which databases, automations, and pages to tackle first. Your assigned Notion specialist then works directly inside your workspace, using a shared task log or a dedicated Notion page to document every build decision, property change, and automation added. Nothing is deployed without your review, and we flag any structural choices that could affect how your team uses the workspace before making them. Ongoing support hours can be used for new builds, iterative improvements, or routine maintenance like updating filtered views, fixing broken relations, or adding new team members to permission groups. You retain full ownership and admin access to your workspace at every stage.

When a deal closes in HubSpot or a form is submitted via Typeform, a Make automation creates a new page in the Clients database with pre-filled properties and triggers a linked template to generate the standard onboarding task list. The project lead is auto-assigned and a due date is set based on the contract start date.
Using Notion's native automations, when a task's Status property is updated to 'In Review,' a notification is sent to a designated Slack channel tagging the assigned reviewer. This removes the need for manual follow-up messages and keeps the review queue visible without a separate project management layer.
We build a Meeting Notes database with a recurring template that includes an action items table linked to the main Tasks database. After each meeting, action items entered in the notes page automatically appear in the assignee's personal task view, filtered by due date, without any copy-paste required.
We configure a Content database with a Kanban view mapped to editorial stages (Brief, Draft, Review, Scheduled, Published) and a calendar view filtered by publish date. Each content page uses a standardized template with fields for target keyword, assigned writer, word count, and linked assets, so editors and writers work from the same record through the entire lifecycle.
Tally form responses are pushed into a Notion database via Zapier, with a Select property auto-populated based on the form field answers. A filtered view then surfaces each submission to the correct team (sales, support, or ops) based on that property, replacing a shared inbox with a structured, trackable intake queue.
